Moving a 30-person manufacturer from desktop cubes to live dashboards
Component manufacturer · 30 staff · 22 Spire users · one plant
- ~18 hrs
- reporting time saved a week
- ~830 hrs
- a year across the team
- 14
- people with live dashboards, instead of 2
- ~8×
- first-year return on labour alone
The starting point
A manufacturer of precision industrial components with one plant and warehouse, and 22 of its 30 staff in Spire every day. Its finance team already uses a desktop, cube-based BI tool for Spire. It’s capable, but the insight stays with the two people who know how to build and refresh the cubes:
- Every new question means designing or refreshing a cube first.
- It runs on a couple of finance PCs, so the shop floor and sales counter can’t see anything.
- Nothing watches the data and speaks up when something goes wrong.
What changes
Live numbers for everyone. Fourteen people get web dashboards, and the shop floor gets TV dashboards with today’s production and shortages.
Reports and alerts that reach people:
- a morning shortages email for production supervisors
- reorder alerts that give purchasing days of warning instead of none
- overdue-AR alerts on the day an account ages out
- negative-margin alerts on mis-keyed or under-priced lines, within hours of invoicing
Where the time comes back
| Who | What changes | Hours a week |
|---|---|---|
| Controller and accounting | Month-end pack emails itself; no cube refreshes | 4.0 |
| Purchasing and inventory | Live stock and reorder alerts | 3.5 |
| Production supervisors | Shop-floor dashboards and the shortages email | 3.0 |
| Sales manager | Self-serve customer and margin dashboards | 2.5 |
| Owner / GM | At-a-glance dashboards | 1.5 |
| Counter and inside sales (5) | Answer their own questions | 3.5 |
| Total | ~18 a week · ~830 a year |
What it could be worth
| First year | Estimate |
|---|---|
| Labour reclaimed (~830 hours at $35) | ~$29,000 |
| Working capital freed if DSO moves from 44 to 40 days | ~$60,000, one time |
| Rush freight and downtime avoided from fewer shortages | ~$8,000 |
| Analytics for Spire licence | ($3,500, one time) |
On labour alone, that’s about eight times the first-year cost, before counting cash freed up or shortages avoided.
Cubes and dashboards can coexist
A cube tool is still good for deep financial modelling by a specialist. Analytics for Spire is for everyday reporting, dashboards and alerts across the whole company. Many teams keep both.
